1. Kandahar Race Day Awards
Club Members’ race categories shall be divided by gender and age. Awards will be given to the first, second, and third-place finishers for each gender in each category.
- All classifications are duplicated for male & female.
- Adults: Post-high school thru Age 29; Age 30-39; 40-49; 50-59; 60-69; 70-79; 80+.
- School-Age Kids: Grade school (K – 6th); Junior High (6th or 7th – 8th); High School (9th – 12th).
- Perpetual Awards
- The Stag Award – given to the fastest adult male racer. The Starr Award – given to the fastest adult female racer.
- The Reece Cave Award – given to the fastest junior high or high school boy.
- The Laurie Van Camp Award – given to the fastest junior high or high school girl. The names of the winners of these awards will be engraved on plaques on the awards and they are allowed to keep that trophy until the next year’s Kandahar Ski Club Race Day. In addition, winners will receive an individual award recognizing their achievement that they may keep. The runners-up to the winners of each perpetual award will move up to receive the first place for the category in which the Perpetual Award winner raced.
- Presentation of Awards: Winners in the Youth categories will be presented their awards after the races on Race Day. Winners in the Adult categories will be presented their awards at the Awards/Annual Meeting Dinner.
- Eligibility: Only Active and Associate Club members are eligible for the adult racer awards and the high school age or younger children and/or grandchildren of Club members are eligible to receive the Reece Cave and Laurie Van Camp awards.
2. “Ski” Events and “Social” Events
- “Ski” events are defined as either regularly scheduled or, if not, the members are given at least ten (10) days’ notice of the skiing event.
- “Social” events are those traditional events calendared at the beginning of the year, or those put on the calendar by the Board and for which notice is given at least three weeks in advance of the event.
- A Member or Applicant for membership may receive credit for a ski event (if the person actually skied) or a social event (if the person attended without skiing), when participating in any of the following: Family Ski Weekend, Out of State Trip, Ski Alert Days, Men’s Overnight or Women’s Overnight.
3. New Members Sponsors
The two sponsors on a new Membership Application must represent two separate family units, not one. Before sponsors may submit a new Membership Application, sponsors must make best efforts to introduce the proposed member(s) in person to everyone then serving on the Board of Directors.
4. Addition of Partner/Spouse
If an active individual member in good standing wishes to add their partner/new spouse to be recognized with their membership and included in the Roster, the following steps should be taken. The approved member must contact the Membership Chair in writing and request to have that person added onto their membership and included in the Roster, specifying them as either their partner or spouse. Once all applicable information has been received by the Membership Chair, the Membership Chair will notify the Board and add the requested person to the original member’s application page, noting the date the request was made on the member’s application along with added person’s name and contact information.
5. Guidelines regarding Kings/Queens of the Hill
- Appointment of Kings/Queens of the Hill – To the extent possible, the incoming President should appoint Kings/Queens by the date of the Organizational Meeting.
- Timelines for Completing Tasks in Preparation & Conduct of Club Events – To the extent possible, the Kings/Queens should follow the Event Summary Form provided by the Social Chair.
6. Roster
The Roster contents should include a listing of Officers & Directors, Schedule of Events, Information on accessing the Website, Names of Past Presidents, Charter/Founders, History, and the Names of Members grouped by Active, Associate, and Emeritus, the Wait List, the ByLaws and the Policies and Procedures and Rules. The Roster shall be distributed to the membership each year by September 1.
7. Web Site Contents
The Web Site shall contain at a minimum the Roster, Membership Application, Bylaws, Policies and Procedures, FAQ Document and the Event Summary Form.
8. Duties of the Officers
President
- Preside over the affairs of the Club and its meetings and oversee other officers and committee chairs.
Vice President/President-Elect
- Stand in for the President when he/she is not available or able, serve as Membership Chair and prepare for his/her term as President.
Secretary
- Keep a book of minutes of all meetings, proceedings, and actions of the Board and of members’ meetings, which minutes shall include the time and place of the meeting, the
names of persons present and the number of members present or represented at members’ meetings. - Keep a copy of the Articles of Incorporation and Bylaws, as amended to date, and a record of the members, showing each member’s name, address, and class of membership; and
- Give notice of all meetings of members and of the Board that the Bylaws require to be given.
- Ensure that the minutes reflect the filing of Federal Tax Form 990-EZ, California Tax Form 199, and California Statement of Information S1-100.
Treasurer
- Keep and maintain adequate and correct books and accounts of the Club’s properties and transactions;
- Report to the members and directors such financial statements and reports as are required to be given by law, by Bylaws, or by the Board;
- Deposit all money and other valuables in the name and to the credit of the Club with such depositories as the Board may designate;
- Disburse the Club’s funds as the Board may order;
- Render to the President, and the Board when requested, an account of all transactions and of the Club’s financial condition;
- Send out the dues notices and collect the dues, notifying the President, Membership Chair and Roster Editor once completed.
- File by November 15 of each year Federal Tax Form 990-EZ and California Tax Form 199.
- File by July 31 of each year the California Statement of Information S1-100.
9. Club Insignia
- Club Colors – shall match the red and indigo colors depicted in the flag of Norway, the site of the 1952 Winter Olympics, per the corresponding “Pantone” color chart; red 032, blue 281. The gold color in our Kandahar flag is gold 116.
- Club Logo – the flag, lapel, hat pin and associated paraphernalia shall feature the letter “K” mounted on a single ski, pointing downhill.
10. Corporate Status
Kandahar is a 501(c)(7) social club incorporated as a California nonprofit mutual benefit corporation.
11. Emeritus Membership Consideration
Before the Board may grant Emeritus Membership status, Bylaw section 4.1 (c) requires the Board to unanimously determine in its sole discretion that the member has rendered outstanding service to the Club. At the direction of the President, Emeritus Membership status will be considered, if at all, only at the two Board meetings immediately preceding the Annual Meeting of the membership. If the President believes it may be of assistance to the Board in considering Emeritus Membership status, the President may direct the Club Historian to submit a statement summarizing the member’s involvement in the Club, may seek written testimonials from Club members, or may employ such other means as the President deems potentially helpful to the Board in its consideration process.
Rule 1
The Kandahar Ski Club name, as well as the member lists, names and contact information contained in the Club Roster, may only be used for Club business and to facilitate communication between Club Members. Providing a Member obtains prior written authorization of the Board, a Member may use or facilitate the use of the Kandahar name or any member lists, names or contact information for a non-Club activity or purpose.
